There are a number of advantages for a company that decides to organize events, but it must carefully choose when to do it, for what type of audience and for what reason. Because every event is held to highlight a brand, but if the previous variables are poorly chosen, a harmful boomerang effect can occur.
Why organize events?
– Offer customer proximity, with a new communication channel that is closer, more human and real than the classic telephone or e-mail. It is a moment in which relationships of closeness and trust are established, both with clients, consumers and collaborators, that is, with the small circle of the company.
– Establish new contacts: an event also brings the company closer to groups interested in it but with whom it does not yet have a relationship. It is time to satisfactorily publicize the company, bring it closer to new market niches and establish, if possible, contact with the authorities (politicians, business organizations, chambers of commerce, etc.).
– Transmit a feeling of strength: Not every businessman can prepare an event, so one way to convey the idea that your brand is strong and has prestige is by calling people to an event organized by it. The quantity of people who go to the event, and their quality (if the tree has been moved and public and private professionals of recognized solvency attend) will mark the degree of prestige achieved by your company by holding the event.
– Promote a product: Obviously every event, ultimately, pursues the promotion via marketing of a product or service, but it must be done discreetly, without excessively “singing”, because no one likes to go and be sold something. With tact.
How to organize it
These are some of the keys to what you should and should not do when organizing your business event:
1. First of all you mustestablish the objectives, that is, what you want to achieve with this event (improve your image, achieve contacts, expand the brand, all at the same time). The degree of fulfillment of the objectives will mark the success or failure of the event.
2. Depending on the type of event, the organization will require a certain space. Outdoors, covered, with a certain number of chairs, in a room or several, and a whole series of details that you will have to polish. This point is very important and we must also think about the forms of presentation and dissemination of the event, as well as the technological tools that are needed (projectors, virtual reality, cameras…)
3. When you have everything clear and you choose the place, you will have tomake a budget that includes all the details (from the water bottles to the hostesses, including the information brochures).
And remember: the event is your moment. Be clear about which professionals in your company should appear, unconcerned with the organization, and who will be in charge of the “dirty work” during the event.
